Every paid Google Workspace business plan now includes Gemini, but not equally. Business Starter ($7 per user per month, annual) gets the Gemini app and Gemini in Gmail. Business Standard ($14) and Plus ($22) get Gemini across Docs, Sheets, Meet and the rest, plus higher Gemini Notebook limits. Gmail’s AI Inbox is rolling out to paid plans this month.
Where things stand
Gemini is part of the base subscription, not a separate add-on. Third-party pricing guides checked in June and September 2026 list the same US prices: Business Starter $7 annual or $8.40 flexible, Business Standard $14 or $16.80, Business Plus $22 or $26.40, Enterprise by quote. Google says Gemini Business and Gemini Enterprise add-ons can no longer be bought; the paid AI add-ons now are AI Expanded Access and AI Ultra Access.
The big October change is Gmail. On October 15, 2026 Google announced that AI Inbox is rolling out to paid Workspace users. It adds “Suggested to-dos,” which pulls action items and deadlines out of threads, and “Topics to catch up on,” which summarizes long discussions. Rapid Release domains started October 12; Scheduled Release domains start October 26, with up to 15 days before it shows up. It is US-only, English (US) only, and Google says “there is no admin control for this feature.”
The same day, Google announced Gmail Live for paid Workspace users: voice search of your inbox on the Android and iOS apps, with spoken answers and a source card pointing to the emails used. It is also US English only.
Not everything shipped on schedule. On October 13 Google delayed “skills” inside Workspace apps until further notice; skills in the Gemini app itself are still rolling out through mid-November.
NotebookLM became Gemini Notebook in July 2026. On Workspace it is a core service. Limits checked in August 2026: 50 sources per notebook and 50 chats a day on Business Starter; 300 sources and 500 chats on Business Standard and Plus. The AI Expanded Access add-on raises usage caps further, for example from 5,000 to 25,000 AI function uses a month in Sheets. Google did not publish its price on the page we checked.
| Option | Best for | Cost (month seen) | Runs where | Our take |
|---|---|---|---|---|
| Business Starter | Email-first offices, tight budgets | $7 annual / $8.40 flexible per user per month (Sep 2026) | Google cloud | Gemini app and Gmail only. Notebook capped at 50 sources. AI Inbox availability for Starter is unclear in Google’s own post. |
| Business Standard | Most 3 to 30 person offices | $14 annual / $16.80 flexible (Sep 2026) | Google cloud | The plan to be on if you want AI in Docs, Sheets and Meet. Notebook gets 300 sources. |
| Business Plus | Offices that need Plus’s non-AI features | $22 annual / $26.40 flexible (Sep 2026) | Google cloud | Same AI as Standard by our sources. Buy it for its other features, not for more AI. |
| Enterprise | Regulated firms with compliance needs | Quote only (Sep 2026) | Google cloud | Rarely needed under 30 seats unless a regulator or client requires its controls. |
| AI Expanded Access add-on | Heavy Sheets, Vids or Notebook users | Price not published on Google’s comparison page (Oct 2026) | Google cloud | Higher limits and earlier features. Wait until staff actually hit caps. |
What a small office should do now
If you are on Business Starter and people spend their day in Docs and Sheets, moving to Business Standard is the clearest AI upgrade Google sells. The $7 per user difference buys Gemini in every app and six times the Notebook sources.
Prepare for AI Inbox before it appears. There is no admin switch, so tell staff what “Suggested to-dos” is and that it summarizes their own mail, not anyone else’s. For law and medical offices, remind people that an AI-extracted to-do list is a convenience, not a docket or a chart. Deadlines still get entered in your calendaring system by a person.
Do not bother with Business Plus or Enterprise for AI reasons alone. And do not buy AI Expanded Access until someone shows you a usage cap they hit last month.
If you are outside the US or staff use a language other than English (US), AI Inbox and Gmail Live will not show up yet. Nothing to do but wait.
What we’re watching
- Whether AI Inbox reaches Business Starter now or “in the coming months,” since Google’s post says both.
- The new date for skills in Workspace apps after the October 13 delay.
- Gemini Notebook code execution reaching Business Standard and Plus without an add-on.
- A published price for AI Expanded Access and AI Ultra Access.
- Expansion of AI Inbox and Gmail Live beyond US English.
